Job Tracker redesigned: 5 simple updates to an even easier user experience

We are happy to inform you that Job Tracker has been redesigned to improve user experience and to make it even easier for you to organize your and your team’s schedule.

In this update, we have not only some considerable improvements like the way information is displayed on the screen but also some time-optimizing add-ons, such as assigning a job to a group of workers at once, instead of doing it one by one like it used to be.

Tag along and let’s get to the new functionalities together:

1. Information is presented in a clearer and cleaner way

On the top of your calendar, you have stats that present a summary of what you and your team gotta accomplish that day. They are divided by the type of job and for each one you have the number of jobs of that respective type, and the total square footage.

By clicking on the gear icon in the top-right corner, you have the option to hide those stats. The other option in this update allows you to color the jobs on your calendar. In this post, we chose to let it checked to better identify the different types of jobs through their colors.

Getting down to the calendar view, let’s start with the Month view. You can see in the image below how the jobs are now displayed on each day. For the jobs that take more than one day, their visualization extends accordingly. Moreover, if you want to see more details about the job, simply hover the mouse over the job section and a tooltip will be displayed.

Besides the Agenda view, you can also visualize your jobs as a list, by simply clicking on List, above the calendar:

If you want a more specific view of the week or day, you can also use the Week and Day calendars. For these two options, the Agenda tab is available, which will also display the hour each job starts and finishes each day. Check the image below:

In the image above on the Day tab when the view Agenda is selected, you can see a red line. That line represents the current hour. This post is being written at 08:23 AM, so you have the line right before 08:30 AM. That line is also shown in the Week tab, but it appears only on the respective day you are.

2. Find information quickly and more precisely 

Looking to optimize your time by returning precise information on your searches, we developed a new filter that now will search for the terms into the Job, the Job Reference, the Quote, the Invoice, or even the Customer. For example, you can search for the Quote number, for the Job reference, or even for the customer name. Simply expand “Options” and check which items you want the system to search for.

3. Instead of assigning a job to each worker individually, you can now assign a group to do that job

First of all, get to the Job Tracker’s Setup menu on the left menu, and on the field Groups, add a new one. Then give your group a name and select the workers who will be a part of it. You can create as many groups as you want!

Then on your job screen, you have the Worker’s section on the right menu. By clicking on the yellow pencil, you can add Workers one by one. By clicking on the green Groups icon, you can add the groups you’ve created on the Setup screen. See it below:

4. Create jobs for multiple areas at the same time

When creating an activity for a Quote or Invoice, you can select multiple Areas at the same time.

When they create the job for both areas, they will appear simultaneously on the calendar. If you want to edit the workers in both areas after creating the job, simply edit them individually.

5. Send customized E-Mails, forms, notifications, and other documents to update your customer

On your job page, by clicking on the Send Email option on the right menu, a new pop-up will be shown.

In this pop-up, you can choose the type of E-Mail that will be sent to your customer. You can send a form to be signed authorizing the job, a receipt to be signed confirming delivery of products, notifications about the job to be done, or anything else you want! It is totally customizable to fit all your needs.
